Commercial Assistant (Maintenance)



Essential Tasks for the Commercial Assistant
- Prepare, review and distribute reports, correspondence and documentation related to the business operations.
- Maintain and organize files and records, ensuring accessibility and compliance with company policies.
- Assist with the updating of proposals and work plans for various projects.
- Assist with communication between clients for consultancy services to include emails, telephone calls and any other correspondent methods as per company policy.
- Participating in the follow-up on commercial activities with clients.
- Create engaging digital content to showcase Peterson's sustainable commercial initiatives and achievements.
- Assist with preparing proposals, contracts, and presentations for sustainability clients.
- Ensure smooth communication and information flow between workgroups / business units.
- Track and manage client communications and documentation.
- Coordinate follow-up actions for the team.
- Provide administrative support across various workgroups / departments.
- Manage specific tasks such as data entry, documentation, coordinating events and scheduling to support departmental functions.
- Address ad-hoc administrative needs, gaining exposure to different facets of the business.
- Participating in training and cross-functional activities to enhance skills and business acumen.
- Suggest improvements to administrative, content creating and sales processes for greater efficiency.
- Stay informed about industry trends and sustainability practices.
- Support with standardization of procedures, proposals and other commercial deliverables.

Non-essential tasks for the Commercial Assistant
- Assist in the planning and organization of company events or meetings.
- Providing logistic support for non-core events, such as team building activities or company wide celebrations.
- Inputting data that is not time sensitive or critical to business operations, such as archiving old records or documents.
- Occasionally cover the reception area at the Planation head office.
- Assisting with light office organization tasks, such as restocking office supplies.
- Helping other departments with non-administrative tasks, such as setting up meetings or distributing internal communication.
